MIGRATION HOW IT WORKS · ZERO-RISK PROCESS · TRANSPARENT

A website migration
without the horror stories.

Bad migrations destroy rankings, waste months, and eat budgets. We've done 40+ HubSpot migrations since 2015. Every objection you have about migration risk, timeline, validation, and SEO preservation is addressed here — before you sign.

Your fear #1 — "I'll lose my Google rankings"

Zero Ranking Drop, guaranteed in writing.

This is the number one fear of every CMO contemplating migration. We've built our entire process around eliminating it.

How we protect your rankings:

  • Full URL mapping before build. Every current URL mapped to its new URL. Every old URL preserved or 301-redirected. No orphans. Completed and reviewed before we write a single line of code on the new site.
  • 301 redirects tested in staging. Complete redirect map deployed in staging and tested automatically. Any broken chain caught before launch.
  • Search Console handoff. Your existing Google Search Console property is reconnected immediately after DNS cutover. Change of address signal sent to Google within 1 hour of launch.
  • Sitemap regeneration. Fresh XML sitemap generated and submitted to Search Console on launch day.
  • 30-day ranking monitoring. We track your top 50 keywords daily for 30 days post-launch. Any drop above 10% triggers investigation within 24 hours.
  • Zero Ranking Drop guarantee (60 days). If any top-50 keyword drops more than 10% from its pre-launch baseline within 60 days, we investigate and fix the root cause at our cost. In writing, in the contract.

Track record: 40+ HubSpot migrations since 2015. Majority had zero drops. None have ever triggered the guarantee clause.

Your fear #2 — "My site will be down during migration"

Zero downtime. Parallel environments until DNS cutover.

Your current site stays fully live throughout the entire migration. We never touch it.

How parallel migration works:

  1. We build your new site in HubSpot Content Hub staging environment. Completely separate from your live site. Your current site is never modified.
  2. You review the staging site at yourdomain.sandbox.hs-sites.com or similar. Click through every page. Request changes. We iterate.
  3. When you approve for launch, we schedule DNS cutover for a low-traffic window (often Saturday morning or Sunday evening).
  4. DNS cutover takes about 30 minutes of DNS propagation. Most visitors route to the new site within 15 minutes.
  5. During propagation, any visitor still on old DNS sees your old site (fully functional). Any visitor on new DNS sees the new site. Nobody sees a broken page, ever.

What we do not do: take your site offline for maintenance windows. Show "we're migrating" pages. Risk your paid media or SEO traffic during the transition.

Your fear #3 — "What if I don't like the design?"

Three approval gates. You can stop the project at any of them.

Design disagreements kill more migration projects than technical issues. We address this with explicit approval gates where you have veto power — not "feedback power", actual veto.

Gate 1 — Architecture approval (end of week 1). Before any design work, you approve the information architecture: sitemap, page hierarchy, topic cluster structure, template plan. If you don't like the architecture, we redo it. We don't proceed until you sign off.

Gate 2 — Design approval (end of week 2). Staging environment goes live with the new design on 5-7 key templates. You review interactively. Request design changes. Up to 2 rounds of design revisions included. If fundamental direction is wrong, we restart design without extra charge.

Gate 3 — Content approval (before launch). All migrated content reviewed in staging. Metadata verified. Internal links verified. Nothing goes live until you sign off.

Project pause rights: you can pause the project at any of the 3 gates. No pause fee. We resume when you're ready. This is your project, your website, your brand. We execute under your approval.

Your fear #4 — "Who does what? Who decides what?"

Clear RACI. No confusion about responsibilities.

Migration projects fail when responsibilities are ambiguous. Here's who does what, explicitly:

Architecture & strategy (SpotiFlow leads, you approve): Site architecture, topic clusters, page hierarchy, URL structure, template design, AEO strategy. We recommend, you approve.

Design execution (SpotiFlow, with your input): Visual design applying your brand guidelines. We use your existing brand assets (logo, colors, typography). If you need brand refresh, that's scoped separately.

Content migration (SpotiFlow executes, you validate): We migrate every page from current site to new site. Preserve metadata, images, internal links. You validate the migration is complete and accurate.

Technical execution (SpotiFlow, full ownership): HubSpot portal setup, theme deployment, schema implementation, 301 redirects, DNS cutover orchestration, Search Console handoff. You provide credentials only. We execute.

Decisions you own: Brand voice. Content strategy priorities. Which pages matter most. Final approval on all deliverables. Timeline blocking decisions.

Decisions we own: Technical implementation details. AEO best practices. HubSpot configuration specifics. SEO preservation methodology.

Your fear #5 — "How long will this take?"

Week-by-week timeline. 4-6 weeks total.

Week 1 — Discovery

Kickoff call. Full crawl of your current site. Content inventory. URL mapping plan. Architecture design. Topic cluster blueprint. Gate 1 architecture approval.

Weeks 1-2 — Build

HubSpot portal provisioned. SpotiFlow theme deployed. 5-7 key templates built. Design applied with your brand. Staging site live. Gate 2 design approval.

Weeks 2-4 — Migrate

Every page migrated. All metadata transferred. 301 redirects built and tested. AEO schema deployed. QA complete. Gate 3 content approval.

Week 4-5 — Launch prep

Search Console prepared. Sitemap regenerated. DNS cutover scheduled. Launch-day runbook reviewed. Go/no-go call with you.

Launch day

DNS cutover executed at agreed window. 30 min propagation. Site live. Search Console change-of-address sent. Analytics verified. Monitoring begins.

Days 1-30 post-launch

Daily ranking monitoring. AEO Growth retainer active from day 1. First AEO audit delivered. 30-day post-launch ranking report. Guarantee checkpoint.
Your fear #6 — "What exactly happens on launch day?"

Launch day, minute by minute.

Migration launch is the highest-stress moment. We've reduced it to a 90-minute orchestrated operation where you sit back and we execute.

T-24h (day before): Final staging review with you. Go/no-go call. All credentials verified. Runbook confirmed.

T-0 launch moment: DNS record updated. Clock starts on propagation.

T+5 min: Early DNS propagation verified from 3 global monitoring locations. HubSpot Content Hub serving traffic.

T+15 min: Majority of visitors now routed to new site. Analytics traffic verified. First conversions tested.

T+30 min: Propagation complete worldwide. Search Console change-of-address submitted. New sitemap pushed to Google.

T+60 min: Full QA pass on live site. Top 20 pages tested. Forms tested. CTAs tested. Redirects tested.

T+90 min: Launch confirmation report sent to you. 30-day monitoring dashboard active. Your AEO Growth retainer officially starts.

You during launch: available on Slack/Teams for 2 hours (in case of escalation). No action required. Watch if you want — or go have coffee. We handle it.

Your fear #7 — "When does the AEO program actually start?"

Day 1. Launch day. Not 3 months later.

Most agencies treat migration and AEO as separate projects with separate kickoffs. We don't. The €2,990/mo AEO Growth retainer starts on the day your new site goes live.

Week 1 post-launch: Onboarding AEO audit delivered. Baseline HubSpot AEO score measured. AI visibility audit across 5 LLMs completed. 90-day roadmap in your hands.

Week 2 post-launch: HubSpot AEO setup complete. First JSON-LD schema deployed. First 2 AEO articles drafted for your approval.

Month 1 post-launch: 4 AEO articles published. 5-10 existing pages optimized. Schema deployed site-wide. Entity architecture active.

Why this matters: the structural advantages of Content Hub only pay off if you activate them. Without AEO activation, you've just moved to a better CMS — without capturing the +3.4x citation advantage. With AEO activation from day 1, compounding starts immediately.

Your fear #8 — "Who's running this project?"

Meet your migration team.

A migration touches design, content, SEO, and HubSpot configuration. You don't get bounced between departments — you get a dedicated project lead who owns delivery.

Your dedicated project lead: senior HubSpot architect with 8+ years experience. 40+ migrations under their belt. Owns timeline, quality, and go-live decisions. Single point of contact throughout. Based in Europe, your time zone.

Execution team (behind the scenes): Senior designer (your brand applied to SpotiFlow theme). Content migrator (every page transferred, metadata verified). Technical SEO specialist (URL mapping, 301 redirects, schema). HubSpot implementation engineer (portal configuration, integrations).

Backed by Stratenet: our parent agency has done 200+ HubSpot implementations since 2015. When migration hits a HubSpot edge case, we tap 16 years of institutional expertise — not a junior agency team learning on your project.

Your fear #9 — "What are the hidden costs?"

No hidden costs. Here's the full budget picture.

Migrations often come with surprise invoices. Here's the complete picture for your budget planning.

One-shot migration investment — €19,900 (fixed, all-inclusive). Covers everything up to 150 pages: design, content migration, SEO preservation, AEO architecture, HubSpot configuration, launch orchestration, 30-day ranking monitoring. No hourly overruns, ever.

Monthly AEO Growth retainer — €2,990/mo (starts at launch). The ongoing program. Month-to-month after 90-day initial commitment.

Additional costs (from HubSpot, not us): HubSpot Content Hub license (from €23/mo Starter to €450/mo Professional). HubSpot Marketing Hub if using AEO tool (already included in Pro/Enterprise plans). If you're net-new to HubSpot, we help you select the right plan.

What might increase scope (scoped upfront): Sites larger than 150 pages. Multi-language migration. Complex CRM integration requiring custom code. Brand refresh (we use your existing brand; if you need a new one, scoped separately).

What will never surprise you: change orders without your written approval. Hourly overruns on the €19,900 base scope. "Premium" features sold post-signature. License fees we hide in our invoice.

Your fear #10 — "Could I do this cheaper?"

The honest math on alternatives.

Before signing, let's compare honestly. There are cheaper paths — and they come with risk profiles worth quantifying.

DIY migration with your team: Free in cash, expensive in time. Expect 200-400 hours of internal work if your team has HubSpot experience. More if they don't. Plus SEO risk (no guarantee, no expert eye). Plus opportunity cost (your team is not shipping for 3 months).

Generic web agency: €10-30k for design and build. But no AEO expertise, often no HubSpot certification, no SEO preservation guarantee. You'll still need to hire AEO separately after launch (€3-5k/mo generic SEO agency, or €2,990/mo SpotiFlow).

HubSpot partner agency (not AEO-specialized): €15-30k for migration. Solid HubSpot work. But AEO is still an afterthought — schema is basic, topic clusters are optional, HubSpot AEO tool setup costs extra. Still need to hire AEO separately.

SpotiFlow AEO Website Ready: €19,900 for migration with AEO architecture built in from day 1. Plus AEO Growth retainer starting at launch. One vendor, one contract, one accountability point. Zero Ranking Drop guarantee. +20 AEO points guarantee in 90 days.

The honest comparison: if AEO matters to you (and the data says it should), SpotiFlow is cheaper in total cost of ownership than separate migration + separate AEO engagement. If AEO doesn't matter, hire a cheaper agency — we're not the right fit.

Every migration risk answered.
